EMS MobTrack:24 Fleet Management Platform

Complex enterprise rules translated into an integrated, accepted production workflow.

EMS MobTrack:24 centralizes fleet workflows and integrates EMS master data with SAP, NIS and ENP through staged production releases. The system remains in production as of September 2026.

Project context

Bring fleet approvals, operational records, maintenance and reporting into one production system

EMS needed a centralized enterprise environment for fleet use, drivers, maintenance, fuel, documents, costs and approvals, while also connecting corporate master data and external service information. The project translated those detailed rules into a staged production platform.

Business objective

Standardize and automate fleet procedures, integrate EMS master and external service data, provide current operational visibility and equip EMS users and administrators to operate the system.

EMS AD needed one centralized system for recording, planning, monitoring and controlling fleet use, drivers, maintenance, fuel, documents, costs and approvals while integrating corporate master and service data.

Architecture, development, integrations and user enablement

Member of the supplier group led by Mobile Solutions; MapSoft personnel were assigned solution architecture, software development, user documentation and training responsibilities.

Operational workflow

Turn a vehicle request into a controlled, traceable operational process

The documented workflow starts with an employee request, passes through managerial approvals and fleet assignment, and continues into the travel-order lifecycle, mileage records, notifications, maintenance and reporting.

Documented process

Request → approval → vehicle assignment → travel order → operational records

An employee submits a vehicle-use request. It moves through managerial approvals to the fleet-operation role, which assigns a vehicle and initiates a travel order. The surrounding lifecycle covers vehicle/driver records, fuel, maintenance, contracts, incidents, warehouses, documents, notifications and reports.

Enterprise architecture & integrations

A browser-based fleet platform integrated with the EMS corporate environment

The solution was deployed in the EMS data centre with separate test and production environments. Active Directory supports corporate authentication, while confirmed integration domains include EMS master data, SAP, NIS and ENP using SOAP or REST according to connected-system capability.

Distributed Web application

Custom distributed Web application deployed in the EMS AD data centre with standard-browser access, separate test/production environments and compatibility with EMS VMware and enterprise database infrastructure.

Active Directory

Corporate domain authentication is a confirmed part of the deployed environment.

SAP · NIS · ENP

Confirmed domains include EMS master data, SAP, NIS and ENP. Active Directory provides corporate authentication; vehicle geolocation can be periodically retrieved. SOAP or REST communication was specified according to connected-system capability.

Controlled production rollout

The basic system entered production on 21 June 2024 and advanced functions on 14 November 2024 in the EMS AD data centre.

Two training phases were completed for key users and administrators, supported by administrator documentation and video-learning material.
